Operations Office Manager

Full Time

To manage and oversee the day-to-day administrative functions within the Operations department, ensuring accurate and timely completion of all administrative tasks, including monthly invoicing, consumables and uniform management, and supporting the DTC & 3PL operations through effective leadership of the Office Supervisor and admin team.

Key Responsibilities:

Administration & Invoicing

  • Responsible for the creation, validation, and submission of monthly Ops income invoices, in line with agreed deadlines.
  • Ensure all administrative processes for DTC and 3PL operations are completed accurately and efficiently.
  • Maintain accurate records and documentation for audits and compliance purposes.

Team Leadership

  • Oversee the Office Supervisor and Admin Team, providing guidance, support, and performance management.
  • Allocate tasks and monitor workload to ensure operational efficiency and adherence to SLAs.
  • Foster a positive and collaborative working environment within the office team.

Operational Support

  • Liaise with the Fulfilment Services Manager and operational teams to ensure smooth coordination of administrative tasks.
  • Support daily DTC and 3PL admin activities, including order processing, data entry, and reporting.
  • Assist with contract administration and customer KPI reporting as required.
  • Able to be stand-in for the Fulfilment Services Manager ensuring performance and quality are maintained.

Consumables & Uniform Management

  • Manage stock levels of office consumables and staff uniforms, ensuring timely replenishment and cost control.
  • Maintain accurate inventory records and liaise with suppliers for procurement.

Compliance & Standards

  • Ensure all administrative processes comply with company SOPs and relevant regulatory guidelines (GDP, MHRA, VMD).
  • Promote good housekeeping and operational standards within the office environment.

 

Personal attributes: Qualifications, experience, skills, knowledge and competencies required to fulfil the role

  • Strong organisational and time management skills with the ability to prioritise tasks effectively.
  • Excellent communication and interpersonal skills for managing teams and liaising with stakeholders.
  • High attention to detail and accuracy in data handling and invoicing.
  • Proficient in Microsoft Office Suite, particularly Excel.
  • Ability to work under pressure and meet strict deadlines.
  • Leadership qualities with experience in team supervision or management.
  • Previous experience in office management or senior administrative role within a logistics or operations environment.
  • Knowledge of invoicing processes and ERP/WMS systems desirable.
  • Understanding of compliance requirements within a regulated industry (GDP advantageous).
