At our national distribution centre in Stoke on Trent, we stock over 16,000 (29,000 including specials) veterinary products including pharmaceuticals, instruments, pet products and accessories. The role of the Goods In administrator is a vital point of contact between the supplier and the NVS warehouse operation.
Key Responsibilities
On our warehouse dayshift the Goods In administrator is responsible for supporting the Goods In department in achieving operational targets.
They ensure the efficient generation of GRN’s from supplier delivery / advice notes and releasing of GRNs to ensure stock availability. They also follow non-conforming delivery processes to ensure these are resolved efficiently. They carry out all administration activities methodically to ensure financial and compliance traceability. Working in other areas of Goods In as and when required.
Responsibilities include:
- Receiving any inbound delivery requests or queries by telephone
- Controlling deliveries and making informed choices, regarding delivery schedules and workflow, through acquired knowledge of suppliers
- Enforcing and adhering to SOPs, in all aspects of scheduling, arrival, and receipt of deliveries
- Communication with the Warehouse Supervisor and Team Leader to determine priorities for the shift including outstanding GRNs and ‘chasing up’ any supplier returns
- Checking for and responding to any relevant emails, continuing with emails for any delivery bookings for the site including liaison with NVS transport to book in any backloads
- Checking the various ‘To-Do’ trays for any tasks which need processing including discrepancies and returns to supplier
- Using the Supplier returns checklist to determine product return channels and packaging rejected products properly
- Booking in delivery drivers visiting the DC ensuring any arrival procedures are briefed
- Communication with colleagues in the warehouse of which deliveries are ready to unload
- Debriefing the delivery drivers once vehicles have been unloaded
- Completing all logs and spreadsheets methodically, and updating MS teams channels/plans
- Insuring against any supplier counterclaims by following checklists and by gathering further evidence as required
- Working with the Materials Planners to resolve any discrepancies and minimise lead times
- Filing any completed paperwork in the archive
- Collecting any information through the shift, in relation to issues, discrepancies or delays for relevant handover to Team leader or escalation to Supervisor
- Working in an office environment
General
- Required to take a flexible approach, supporting other teams as necessary
- Maintain good distribution (GDP) and ALCOA practices
- Maintain H&S standards
- Use of Microsoft programs including Outlook, Excel, Teams, and IFS WMS
- Required to perform any other reasonable duties as the business requires.
Personal attributes: Qualifications, experience, skills, knowledge, and competencies required to fulfil the role
- Some experience of working in an inbound planning or transport admin’ environment would be advantageous but is not essential
- Good literacy and numeracy skills
- A good level of attention to detail.
- Multitasking skills and good organisational abilities
- Ability to work calmly and accurately under high-pressure situations
- Intermediate IT knowledge would be advantageous but is not essential
- The ability to work with others.
- Excellent interpersonal and active listening skills
